Sample HOA Maintenance Fine Appeal Letter

A fictional letter that attaches a contractor date and asks the association to identify the maintenance standard it used. Names, addresses, and facts below are fictional.

When this sample is useful

Use it when your notice is about the same kind of dispute as this title. It is a fictional letter. It does not report a hearing and it does not guarantee that a board will waive a fine.

What to customize

Replace the name, address, dates, amounts, rule numbers, and every fact that is not true of your property. If the sample mentions a cure period or a fine schedule, quote your declaration instead.

What to attach

Attach the notice, the rule it cites, dated photos or receipts, and proof of how you send the letter. Do not attach this sample page.

Common mistakes

Sending the sample unchanged. Citing a statute from a different state. Treating a fictional hearing date as a real deadline. Asking the board to treat this website as legal advice.

State considerations

Notice, cure, and hearing rules depend on your association type and the state page for where the property is. Open that page before you quote a statewide number. This sample does not apply a statute for you.

Re: Appeal of maintenance fine M-3 — 5 Ridgeview Court

Dear Committee:

I appeal maintenance fine M-3 for peeling trim, dated August 28, 2026. This sample is fictional.

A contractor is scheduled for September 20. I ask you to identify the maintenance section you applied and any cure language in the declaration. This letter does not invent a number of days.

Photos of the trim and the contractor's written date should be exhibits in a real packet. They are described here so you know what to attach.

Please hold further daily charges only if your own schedule says charges accrue daily. If it does not, say so in the decision rather than assuming a daily rate.

I request a written decision. Nothing in this sample reports that a committee waived a fine.

Sincerely, Elena Vasquez Owner, 5 Ridgeview Court
