When this sample is useful

Use it when your notice is about the same kind of dispute as this title. It is a fictional letter. It does not report a hearing and it does not guarantee that a board will waive a fine.

What to customize

Replace the name, address, dates, amounts, rule numbers, and every fact that is not true of your property. If the sample mentions a cure period or a fine schedule, quote your declaration instead.

What to attach

Attach the notice, the rule it cites, dated photos or receipts, and proof of how you send the letter. Do not attach this sample page.

Common mistakes

Sending the sample unchanged. Citing a statute from a different state. Treating a fictional hearing date as a real deadline. Asking the board to treat this website as legal advice.

Notice, cure, and hearing rules depend on your association type and the state page for where the property is. Open that page before you quote a statewide number. This sample does not apply a statute for you.

Re: Appeal of decoration fine D-7 — 14 Elm Square

Dear Committee:

I appeal decoration fine D-7, posted January 3, 2026, for lights still on the porch. This sample is fictional.

The notice did not quote the rule that sets the take-down date. I removed the lights on January 4. Photos from January 2 and January 4 are attached in a real letter; they are not attached to this sample.

Please send the decoration rule and say whether it is in the declaration or in a seasonal memo. A memo is not automatically an amendment.

I ask you to withdraw the fine if the only support is an uncirculated memo, or to tell me the recorded section that applies.

Do not describe this sample as a waiver the committee granted.
